Event Planning Guidelines

Recognized student organizations have the privilege of sponsoring events in the name of Stanford provided that they follow university policy, stay true to their approved mission and scope and work in close coordination with the university.

Review

While all events are subject to review, the following types of events typically require security:

  • Events scheduled in campus auditoria or other large spaces that are open to the public.
  • Large outdoor events.
  • Large scale conferences, tournaments, or competitions, especially those involving youth.
  • Visits of dignitaries, government officials or other high profile individuals.
  • Runs, races and walks.

Note: Any time a student organization recieves an estimate for secruity costs for an event, a standard subsidy is applied.

Even if SUDPS determines your event does not require security, you should still cosnider how best to use volunteers, ushers, and equipment to manage large crowds.
