Policy Details
The university has a new definition and specific requirements for an event.

A recognized voluntary student organization with the Office of Student Engagement has the privilege of planning and sponsoring a event provided that they comply with university policies, and are aligned to their approved mission and scope of work in their constitution regardless of any expressive purpose of the event and whether the event is planned in advance. Please note the fronting policy.
What is an event?
An event is a student-led gathering that is registered with the Office of Student Engagement through CardinalEngage for approval by registered student organizations. Defining characteristics of an event are that it has less than a hundred attendees, and external guests are allowed.
What qualifies as an event?
Any event that satisfies any of the following criteria:
- Less than 100 attendees.
- External guests are allowed.
- Contracts totaling $1000 or more
- Major Events will require additional advising and a longer lead time.
Step by Step process to host an event:
- At least 7-10 business days in advance of the event date, register the event in Cardinal Engage.
- An exception by the Office of Student Engagement (OSE) may be expedited if it is connected to a global event/conflict.
- Events must be approved by the Office of Student Engagement
- Responsibility for finding and scheduling the venue is on the registered student organization
- Contact OSE at studentengagement@stanford.edu for advising if you need assistance.
- Follow the rules set by the venue owner during your events.
- Complete your work orders to complete your event planning duties once the event is complete.
