Week 9 Memo
As we enter Week 9, we're nearing the end of the quarter. Keep up the great work with your event planning using our Event Registration Pilot going into the Spring Quarter. Please note the following reminders for this time period:
1. End-Quarter Period starts on March 10th — During the End-Quarter Period, no musical, dramatic, or athletic events involving student participation may be scheduled, unless approved as exceptions by the Committee on Undergraduate Standards and Policy (C-USP), nor may routine committee meetings be scheduled (such as those of the ASSU, the Senate of the Academic Council, or the committees of the President of the University) when such meetings normally would involve student participation. Good luck on your finals, papers, presentations, and projects!
2. Registrar Scheduled Classrooms — VSOs can start requesting Registrar managed classrooms for Spring Quarter starting March 17, 2025, using the University Classroom Request form. As a reminder, classroom requests must be submitted 5 business days in advance. See the table below, for which weeks classrooms are available to request:
When | REQUESTABLE |
Week 1 | NO |
Week 2 | *NOT GUARANTEED |
Week 3 and beyond | YES |
All Weekends | YES |
*Non class-related room reservation requests are typically processed during Week 3 of each quarter after class-related classroom needs have been finalized.
It is recommended that any events taking place during the first two weeks of the Quarter are hosted in a venue not scheduled by the Registrar. Some non-registrar venues include:
- Meeting Services Spaces: Tresidder, Old Union, White Plaza
- Haas Center for Public Service
- Asian American Activities Center
- Black Community Services Center
- El Centro Chicano y Latino
- The Markaz Resource Center
- Women’s Community Center
- Spaces in the Undergraduate and Graduate Residences
