How-To: Add and Remove Officers on CardinalEngage

Step 1

Annual Registration

This deadline for Annual Registration is driving the transition of leadership for existing recognized student organizations. All student organizations must be registered with the university in order to be a recognized student organization able to operate in the name of Stanford and use university and ASSU resources. Annual Registration opens Tuesday, April 1, 2025 in CardinalEngage and the deadline to register is Tuesday, June 24, 2025.

VSOs who fail to register will lose the following privileges:

  • CardinalEngage access
  • GrantEd access
  • Ability to apply for funding (ASSU and TSF)
  • Ability to host events and reserve rooms on-campus
  • Ability to participate in FestiFall

As defined by the group’s constitution, officers should proceed with their transition guidelines in time for the deadline. Failure to register annually in time will result in dormancy for the student organization and/or exclusion from FestiFall. FestiFall is a student organization fair for recognized student organizations only. ASSU or university funding is also a privilege for recognized student organizations only.

Step 2

Incoming Leaders

The Office of Student Engagement requires a minimum of 3 officers for each student organization. Different types of officer configurations may utilized but there must be at least one Financial Officer.

Every student organization can manage their group to best fit their structure. The default configuration is to have a traditional President, Vice-President, and a Financial Officer. Another popular version is to have two Co-Presidents that split the duties. There are other options available in the settings such as Secretary or various Chair positions to address the needs of your group. You can also create custom Positions within the UI.

Once a student organization has selected their new slate of officers, they can proceed to training. All officers are required to complete Core 10 training. All financial officers are required to complete GrantEd training.

Step 3

Outgoing Leaders

Once training is complete, and constitution requirements are met then outgoing leaders can officially change the positions in the Cardinal Engage Officers page. Financial Officers can be retained until all bills are paid.

Proceed to Annual Registration

With the officer information updated,  student organizations can complete Annual Registration. Once completed, student organizations are officially recognized, and can access their GrantEd account, and have the ability to register for FestiFall.
